Professional Email: Setting up on your computer and phone (Outlook, Thunderbird, iPhone, Android)
9 viewsProfessional Email mailboxes work in any email program and on any phone. Everything you need is on the service page, under Email Management → Connection Settings (see Professional Email: First steps).
The settings
| Protocol | Server | Port | Security |
|---|---|---|---|
| IMAP (incoming) | as shown under Connection Settings | 993 | SSL/TLS |
| POP3 (incoming) | 995 | SSL/TLS | |
| SMTP (outgoing) | 465 | SSL/TLS |
- Username: the full email address (e.g.
sales@yourdomain.com), not justsales. - Password: the mailbox password. If you've forgotten it, set a new one with Change Password in the mailbox list.
- The outgoing server (SMTP) requires authentication with the same username and password.
- The incoming and outgoing server is the same. Enter it exactly as shown, not
mail.yourdomain.com.
Choose IMAP if you read your email on more than one device: messages stay on the server and sync everywhere. With POP3 they are downloaded to one device.
Thunderbird
- Menu → Account Settings → Account Actions → Add Mail Account.
- Enter your name, email address and password and click Continue.
- If the DNS records are correct, Thunderbird finds the settings on its own. Make sure IMAP is selected and click Done.
- If it doesn't find them, click Configure manually and fill in the details from the table.
Outlook
- In Outlook, add a new account (File → Add Account or, in the new Outlook, Settings → Accounts → Add account).
- Enter the email address.
- If it asks for the account type, choose IMAP. Don't choose Exchange or Microsoft 365.
- If it doesn't find the settings on its own, choose manual setup and fill in the server, ports and security from the table, for incoming (IMAP) and outgoing (SMTP).
iPhone and iPad
- Settings → Mail → Accounts → Add Account → Other → Add Mail Account. (On newer iOS versions, Mail is under Settings → Apps.)
- Enter your name, email and password and tap Next.
- Choose IMAP. For Incoming Mail Server and Outgoing Mail Server enter the server from Connection Settings, and in both the full email address as username and the password.
- Tap Next and Save.
Alternatively, on an iPhone you can install a ready-made connection profile. See Professional Email: Webmail and account settings.
Android
The steps differ slightly depending on the app. In the Gmail app:
- Tap your profile picture at the top right → Add another account → Other.
- Enter the email address and tap Manual setup.
- Choose Personal (IMAP), enter the password and fill in the server, port and security (SSL/TLS) for incoming and outgoing.
It won't connect
- Check that the username is the full email address.
- Try the password in webmail (Open Webmail). If you can't log in there either, set a new password with Change Password.
- If you've turned on two-factor authentication, use an app password (see Webmail and account settings).
- If you can send but not receive, check the DNS records, especially MX.
- If your network blocks port 465, try port
587with STARTTLS security for SMTP.
