Professional Email: Webmail (SOGo) and account settings, spam, auto-reply, 2FA, app passwords
1 viewsBesides email programs and phones, every Professional Email mailbox has webmail for reading and sending email in your browser, and an account settings page for spam, security and email migration.
Webmail (SOGo)
- On the service page, under Email Management, click Open Webmail. A new tab opens.
- Log in with the full email address and the mailbox password.
Send the webmail address to whoever uses a mailbox. It's the same for all your mailboxes and ends in /SOGo.
In webmail you have:
- Mail, with folders, search and a signature.
- Calendar and Contacts, which you can also sync with your phone.
- Under Preferences → Mail: an auto-reply (e.g. when you're on holiday), forwarding and filters that sort incoming mail into folders.
Account settings (mailcow)
On the mail server's start page (the same address as webmail, without /SOGo) you log in with the mailbox's email and password and see its settings. From there:
| Setting | What it does |
|---|---|
| Spam filter | Set how strict the spam filter is, and set senders that are always allowed (whitelist) or always rejected (blacklist). |
| Temporary email aliases | Create temporary addresses that expire on their own, for signing up to websites without giving out your real email. |
| Sync jobs | Copy your email from another server (e.g. your old provider) over IMAP. Useful when you move to Professional Email. |
| App passwords | Create a separate password for each device or program. If a device is lost, you delete only its password. |
| Two-factor authentication | Turn on two-factor authentication (TOTP with a phone app, WebAuthn or YubiKey). |
The names are as they appear in mailcow.
2FA and app passwords
If you turn on two-factor authentication, email programs and phones need an app password instead of your normal password:
- In account settings, open App passwords and add a new one.
- Give it a name (e.g. "Office Outlook") and select the protocols it needs: usually IMAP and SMTP.
- Copy the password right away: it's shown only once. Enter it in your email program in place of the password.
Connection profile for iPhone, iPad and Mac
Logged in to account settings from your Apple device, you can download a ready-made connection profile that sets up email on its own (and, if you want, calendar and contacts). The profile gives full access to the mailbox, so don't send it to others.
Changing the password
Prefer changing a mailbox password from the Client Area, with Change Password (see Professional Email: First steps). Then change it on every device where the mailbox is set up (see Setting up on your computer and phone).
