Service renewal, reminders and what happens if payment is late

Services renew per billing cycle (monthly, quarterly, semi-annually, annually etc.). The system notifies you in good time, so your service never stops. Here you'll see how renewal works, when reminders arrive and what happens if payment is late.

Automatic renewal

  1. 5 days before the service's "Next Due" date, a renewal proforma invoice is issued automatically and emailed to you. Its due date is the service's renewal date.
  2. If you have credit, it's used automatically.
  3. Before the due date you receive a payment reminder, if the proforma invoice hasn't been paid yet.
  4. Once paid, the "Next Due" date moves forward one cycle: for example, a monthly service due on 15/3 is renewed until 15/4. The new period always counts from the previous due date, not from the day you paid.

Services with the same renewal date are combined into one proforma invoice.

Renewing early

If you want to renew earlier, e.g. so you don't have to deal with it on holiday:

  1. Open the service from Services → My Services → Manage.
  2. Click Renew service. The window shows the product, cycle, next due date and amount.
  3. Click Renew. A renewal proforma invoice is created; if an unpaid one already exists, you're taken to it.
  4. Pay it. The period is added after the current one, so you don't lose any days.

Domains are renewed from the domain's page: see Domain expiry and renewal.

If it isn't paid on time

  1. After the due date the proforma invoice stays "Unpaid" and you receive an overdue notice. There is no late fee.
  2. 5 days after the due date, if the proforma invoice is still unpaid, the service is automatically suspended: it stops working (your station goes off air, your website shows a suspension page, email stops) and you can't log in to its panel. Your data is kept.
  3. 1 month after the due date, if it still hasn't been paid, the service is deleted. Its data (files, music, databases, email) is then permanently erased and can't be recovered.

Example for a service with a "Next Due" date of 15 March:

DateWhat happens
10 MarchThe renewal proforma invoice is issued and emailed to you.
15 MarchDue date. If it isn't paid, you receive a notice. The service keeps working.
20 MarchSuspension, if it's still unpaid.
15 AprilThe service and its data are permanently deleted.

Coming back from suspension

Pay the unpaid proforma invoice. When the suspension was due to late payment, the service comes back automatically and immediately once the payment is credited. For an immediate return, pay by card, IRIS or PayPal. RF codes and deposits at the same bank are credited within the same day; a transfer from another bank takes 1-2 working days.

After it's back, check that the service works. For radio: Dashboard → the station should be Active; if not, click Start.

If the suspension was for another reason (e.g. a breach of the terms of service), only we can lift it. You'll have received an email with the reason; open a ticket.

I don't want to renew

Request a cancellation before the renewal proforma invoice is issued, or at least before the due date. That way you won't receive reminders and the service won't be suspended. See How to request a service cancellation.

Need a little time?

If you're having trouble with a payment, send a ticket to billing before the due date. It's much easier to find a solution before the service is suspended.
