Users and contacts: access for colleagues and email copies
5 viewsIf someone else should help you manage things, e.g. your accountant, a colleague or your technician, don't give them your password. The Client Area has two tools for this:
| Users | Contacts | |
|---|---|---|
| What they do | Log in to your account with their own email and password | Receive copies of emails, without logging in |
| Permissions | Only what you give them | Only the email categories you choose |
| Example | Your technician, who opens tickets and uses the panels | Your accounts department, which wants proforma invoices by email |
Users
The Account → Users page is only shown to the account owner.
Inviting a new user
- In the Invite a new user card, enter their Email.
- Under Access permissions, tick only what they need (see the table below).
- Click Send invitation.
- If the person doesn't have an account with us, they receive an invitation email. They open the link, enter a name and password and click Accept & Create account. Until then the invitation appears under Pending invitations, where you can cancel it.
- If the person already has an account with us under that email, they're added straight away and receive a notification email.
The user logs in with their own email and password, and sets up their own two-factor authentication.
The permissions
| Permission | What it allows |
|---|---|
| Profile details | Viewing and changing the account details (My Details) |
| Contacts | Managing contacts |
| View services | The "My Services" list |
| Manage services | Service page, upgrades, cancellations, actions |
| Log in to services | The "Login to Panel" button and consoles |
| View domains | Domain list and details |
| Manage domains | Nameservers, DNS, renewals, EPP code |
| Proforma Invoices & payments | Proforma invoices, payments, credit, documents |
| Quotes | The account's quotes |
| Support tickets | Opening and viewing tickets |
| Affiliate program | The affiliate area |
| Email history | The emails sent to the account |
| New orders | Orders and the cart |
The Dashboard, the Security page (for their own password), the Knowledge Base and Announcements are always available. Users and account closure are only visible to the owner. If a user opens a page they have no permission for, they're returned to the Dashboard.
Examples: for an accountant, "Proforma Invoices & payments" and "Email history". For a technician, "View services", "Manage services", "Log in to services" and "Support tickets".
Changing permissions or removing a user
- Click the pencil (Edit permissions), change the boxes and save. Changes apply from the user's next login.
- Click the bin (Remove) to cut their access. The user isn't deleted from the system; they simply no longer see your account.
If a colleague leaves, remove them straight away. If they knew any service passwords (FTP, panels), change those too.
Switching between accounts
With one email you can access several accounts, e.g. your own and a client's who invited you. The menu under your name (top right) then shows an Accounts list:
- Click a name to switch to that account. The current one has a green tick.
- Or click Switch Account for the page listing all your accounts.
After switching you see the other account's Dashboard, with the permissions you've been given there.
Contacts
Contacts receive a copy of the account's emails, without being able to log in.
- Go to Account → Contacts → New contact.
- Fill in First name, Last name and Email (required), and the other details if you like.
- Under Email preferences, choose which emails they receive: General, Products, Domains, Proforma Invoices, Support. For a new contact, all are on.
- Click Save. You'll see "Contact saved".
The contact receives an exact copy of every email in the categories you enabled. However, if you've switched off a category in your own Email Preferences, nobody receives it.
Example: to send proforma invoices to your accounts department, create a contact with their email and leave only "Proforma Invoices" on.
Common problems
| Message / problem | Solution |
|---|---|
| I can't see the Users option | Only the account owner sees it. |
| "This user already has access to your account." | The email is already one of your users. |
| "A pending invitation already exists for this email." | Cancel the old invitation and send a new one, or ask the user to check their spam folder. |
| "The invitation link is invalid or has expired." | The invitation was cancelled or already used. Send a new one. |
| A user says they can't see something | Check their permissions and ask them to log out and back in. |
